[Rescue Newsletter 1] Submission of Documents for Junior Rescue League at Salvador 2025

We are delighted to welcome you to RoboCup2025 Salvador — an international celebration of learning, creativity, and collaboration through robotics. Whether this is your first time or you’re a returning team, we’re excited to see how you apply your ideas, skills, and teamwork in this year’s Junior Rescue League.

We would like to inform all teams participating in the Junior Rescue League at RoboCup 2025 Salvador about the submission process for the TDP, poster, video, and BOM. This post outlines the necessary steps and deadlines of these submissions.

These materials are crucial for your successful participation in the competition. Please read the instructions carefully and ensure that all required documents are submitted by the specified deadlines.

Deadline

In order to ensure that all teams’ documents can be reviewed fairly and thoroughly, the official competition rules require that all documents be submitted no later than three weeks before the start of the event.

Accordingly, the deadline for submitting the required materials for this competition (TDP, poster, video, and BOM) is:

Thursday, June 28, 2025, at 23:59:59 (UTC).

Please be mindful of the time difference between your country and UTC, and make sure to complete your submission before the deadline.

Teams that fail to submit their documents on time or need to update their information may be granted an extension under exceptional circumstances. However, to maintain fairness across all teams, a score reduction may be applied to the document evaluation part based on established criteria.

Submission Form

The submission form URL will be issued individually for each team and sent to the email address provided during team registration. The email will be sent from “robocupjunior-rescue[AT]robocup.org” with the subject line:

“Submission of Technical Documents at RoboCup2025 Salvador”

Please note that there may be a lag between the completion of your team registration and the delivery of this email.

An email was sent to all registered teams as of June 16th on 2025/06/17 at 14:30 (UTC).
If you have not received it, please check your spam folder.

By clicking the link in the email, you will be directed to the submission form. Please read the instructions at the top of the form carefully before you begin entering information.

Make sure to frequently click the Save button at the top right of the screen as you fill in the form. You may update and overwrite your submission as many times as needed until the deadline, so we strongly recommend saving your progress regularly.

Here are some examples of the questions that will be asked in the form:

1. TDP

For this competition, the contents of the Team Description Paper (TDP) must be entered directly into the submission form, rather than uploaded as a PDF file. Please follow the instructions provided within the form.

You can refer to the TDP template to see sample questions and get an idea of the expected content.

2. Poster

Please upload your team poster in PDF format.
Detailed regulations can be found in the RCJ General Rules.

Please note that each team is responsible for printing their own poster and bringing it to the venue .

In addition, the Poster evaluation will follow the rubric below, so please use it as a guide when preparing your responses.

3. Presentation (Technical Description) Video

All teams must create and submit a Presentation Video before the competition.

The video should be short and highlight your team’s work. It will be shown during the competition and should clearly summarize the key aspects of your project, including your design process and innovations.

Please refer to the following document for detailed information about the video’s format, content, and restrictions:

When submitting your video, please follow these requirements:

  • File format : MP4 only(If your video is in another format such as .mov, .wmv, etc., please convert it to MP4 before uploading.)
  • Maximum file size : 500 MB

In addition, the Video evaluation will follow the rubric below, so please use it as a guide when preparing your responses.

4. Bill of Materials (BOM)

All teams must submit a Bill of Materials (BOM) listing the major components and materials used in their project.

Please refer to the following link for the official BOM Template.
You must use this template to create your document and submit it in PDF format.

5. Technical Questions

The specific questions may vary depending on the league, but examples include the following.

  • Does your robot use a camera?
  • Does your robot use machine learning or artificial intelligence?
  • Does your robot use any type of wireless communication?
  • Does your robot have a handle?
  • Does your robot have a binary switch/button, clearly visible to the referee, for starting the robot at the begining of the run and when a lack of progress occurs?

General Notes

The form has an overall character limit of 35,000 characters.
Please note that providing more information is not always better. Instead, we encourage you to carefully select the most important aspects you want to highlight about your team. Use the available space effectively to present your team in the best possible way within the given limit.

Dear Rescue Committee

Regarding Team: 888 Programming
League: RoboCup Junior - Rescue - Line
Institution: St Peter’s College

I have just read the latest news and seen that the deadline for submitting the required materials is Thursday, June 26, 2025, at 23:59:59 (UTC).

Both students in the team are currently on a three-week outdoor adventure activity “Pushing the Boundaries” as part of their school program. They departed on 10 June and won’t return until Friday 29 June.

Could we please request, at least, a one week extension for their submission?

Two of the three documents are in a near-submittable state, but the real problem is that they are not able to access an electronic device until June 29, and can therefore not meet the 26 June deadline. If need be I can send documentation from the school to confirm that they are on a three week outdoor endeavour.

Dear Rescue Committee
Since this year TDP has to be submitted directly into the CMS form our team is wondering if the 10 page limit still holds and if we can keep the formatting from the TDP Template. We are curious if we could write more content that wouldn’t normally fit on 10 pages on the template. If not, how should we track the limit of our content size, especially illustrations and diagrams that usually take up a lot of space.

Thank you for your message, and apologies for the confusion regarding this year’s TDP submission.

Since the TDP is now submitted directly through a web form, the 10-page limit no longer applies for this year. Instead, the entire submission form is subject to a maximum of 35,000 characters. This includes all text fields within the form.

At the bottom of the form, you will also find an optional section where you can upload a PDF version of your TDP. There is no page limit for this optional PDF, but please note that there is a maximum file size due to system limitations.
